Safety and hygiene ratings for events
Hello event organizer or happy participant,
From this page you can find information on how the events will be rated in the fall 2020 to ensure that everybody knows which actions are taken to prevent the spread of Covid-19 in KY community.
Why are we rating events?
Even though the situation regarding Covid-19 is slowly getting better, the virus still poses a serious threat. We hope that everybody can feel safe in our events throughout the fall, and therefore, it is important to communicate which actions are taken into place to stop the virus from spreading.
Firstly, all events organised by KY and its associations should pay regard to the recommendations given by AYY and the recommended safe distances and hygiene practices specified by THL and OKM. If you are an event organizer, please read these instructions carefully.
Secondly, all events for the rest of the year will be rated based on which kind of actions they are taking to prevent the spread of COVID-19.
Ratings for the events
The ratings will be on a scale from one to five. There are five criteria which the rating will be defined by.
- If you can ensure that all of these criteria can be followed throughout the event, your rating will be 5/5.
- If you can only ensure four of the five criteria, the rating will be 4/5, or if you can ensure only three of the five criteria, the rating will be 3/5, and so forth.
- If your rating is under five do clarify which criteria you are not able to fully commit to (see example from below: “Instructions for event organisers”).
- All events that are held remotely get a rating 5/5.
The five criteria are as follows:
Hand hygiene is taken into account and washing hands is possible throughout the event.
Safe distances (1-2 metres) are maintained throughout the event by, for example, limiting the number of participants. There are no crowded spaces or queuing situations.
No activities that increase the risk of droplet infection, such as singing together, shouting, group exercises, or drinking games are rehearsed in the event.
The event is held outside.
Food and beverages
Food is not served or it is made by a hygiene rated restaurant.
Notice! If the safety guidelines issued by the authorities cannot be followed, it is recommended not to organize the event.
Instructions for the event organizers
Before the publication of the event, consider together how well your event can take into account the safety and hygiene regulations. Read carefully the recommendations given by AYY and the recommended safe distances and hygiene practices specified by THL and OKM.
After you have carefully considered which actions are available to you, give your event a rating according to the scale presented above. Communicate the rating clearly to the participants for example in the event description text. Notice! All events that do not have a rating cannot be posted to KY’s channels and for example, will be deleted from KY Events.
An example of an event description text:
“Safety rating of the event: 3/5
→ Event is held indoors
→ Safe distances (1-2 metres) cannot be guaranteed throughout the event”
In order to trace possible chains of infection, there must be a place to share information also after the event, and participants should be instructed on how to act in the event of a possible infection.
For example, KY recommends that associations:
- Gather the contact information of the participants together with the ticket purchase (remember to comply with GDPR guidelines and ask for the permission to collect the contact information to certain purpose).
- In their communications, emphasize the importance of following the announcements in the Facebook events and click “going” to receive the information in the event of a possible infection.
Participants are reminded not to participate in the event if they have any symptoms, and to consider those at risk. If the safety guidelines issued by the authorities cannot be followed, it is recommended not to organize the event.

Instructions for participants
Make our event organizers and KY’s task easier by following relevant social media channels, Facebook events and our website actively. There you can find the ratings of the events and possibly other announced activities to make sure all the events are safe to participate. In addition, by following event organizers communication channels actively, you will get the information as soon as possible, in the event of a possible infection. For example, in Facebook events click “going” to receive the information more quickly.
Please, also take good care of hygiene and act accordingly by the given instructions.
